Distributor and Stockist Order-Taking Voice Agent

A voice and WhatsApp agent that takes orders from stockists and chemists by brand and pack, checks stock, schemes and credit, reads the order back and posts it to your ERP or DMS.

Who it is for

  • Head of Distribution
  • Commercial Operations Manager
  • C&F and Depot Manager
  • Sales Operations Lead

The problem

Pharma companies in India sell through carrying and forwarding agents, stockists and retail chemists. Stockist orders still arrive as calls to the depot, handwritten slips carried by MRs, or WhatsApp photos of order books, and depot staff key them into the ERP or distributor management system.

Orders by phone and photo

Order lines arrive as brand nicknames and pack sizes, spoken quickly or written by hand, and get keyed with errors.

Scheme confusion

Stockists ask about running schemes and free-goods offers, and the answer depends on who picks up the phone.

Stock and credit surprises

Orders are accepted for products out of stock at the depot or for stockists over their credit limit, and get cut later.

MRs carrying orders

Field reps spend time relaying orders between chemists and stockists instead of focusing on doctor calls.

What we build

We build an ordering agent that stockists and chemists can call, or message on WhatsApp, in Hindi, English or a regional language. It recognises the customer from the registered number, understands brand names, strengths and pack sizes including common shorthand, and reads back each line. Before confirming, it checks depot stock, current schemes and the stockist's credit status in your ERP, and offers substitutes only from your approved list. Confirmed orders are posted to the ERP or DMS with a WhatsApp acknowledgement. Unclear lines, credit holds and requests outside policy go to depot staff.

  • Takes orders by inbound call, scheduled outbound call or WhatsApp voice and text
  • Understands brand, strength and pack names, including common shorthand and Hinglish
  • Reads back each order line, free goods and expected value before confirmation
  • Checks depot stock, running schemes and credit status in your ERP
  • Posts confirmed orders to the ERP or distributor management system
  • Hands credit holds, disputes and unclear lines to depot staff with a call summary

How it works

  1. 01Stockist calls or messagesThe agent identifies the stockist from the registered number and loads their account context.
  2. 02Capture order linesThe stockist speaks or types order lines, and the agent matches each to a SKU, asking about any it is unsure of.
  3. 03Check stock, schemes and creditEach line is checked against depot stock, applicable schemes and the stockist's credit status.
  4. 04Route exceptionsCredit holds, unmatched products and special requests go to depot staff with the call summary.
  5. 05Read back and confirmThe agent reads back lines, free goods and expected value, and the stockist confirms.
  6. 06Post and acknowledgeThe confirmed order is posted to the ERP, and a WhatsApp acknowledgement with the order number is sent.

Inputs and outputs

Inputs

  • Stockist and chemist master with registered numbers and licence details
  • Product master with brand, strength, pack and common aliases
  • Depot stock positions
  • Running schemes and free-goods rules
  • Credit limits and outstanding balances from the ERP

Outputs

Where people stay in control

Depot staff resolve every credit hold, unmatched product and non-standard request before the order is confirmed. Scheme rules and substitute lists are set and approved by the commercial team, not by the agent.

Integrations

  • ERP such as SAP, Tally or a pharma distribution ERP
  • Distributor management system
  • WhatsApp Business API
  • Telephony or cloud contact-centre platform
  • CRM holding the stockist and chemist master

Guardrails

  • Every order read back and confirmed before posting
  • Substitutes offered only from an approved list
  • No discounts or schemes beyond configured rules
  • No medical or dosing advice; such questions are declined and redirected
  • Calls recorded with notice and retained per policy

Compliance notes

  • Designed to accept orders only from stockists and chemists whose drug licence details are on file in your master, with special-category products excluded where your controls require it.
  • Outbound calls follow TRAI commercial communication rules and customer preferences, and personal data is processed in line with the DPDP Act 2023.

What we measure

Order line accuracy

Exception share
Orders needing depot staff intervention, grouped by reason.
Order completion time

FAQs

01Can it understand brand nicknames and short forms?

Yes. We build an alias dictionary from your past orders and depot staff knowledge. When a name matches more than one SKU, the agent asks a clarifying question.

02What about narcotic, psychotropic or other controlled products?

Ordering follows your existing controls. Products that need special handling can be excluded from the agent and routed to depot staff.

03Will stockists accept talking to an AI?

The agent tells callers it is automated and offers a human handover at any point. The pilot measures repeat usage so you can judge adoption with real data.

04Does it replace our DMS?

No. It is an ordering front end that posts to your existing ERP or DMS. Pricing, schemes and invoicing stay in those systems.
