Dealer and Distributor Order-Taking Voice Agent

A voice agent that calls or answers dealers in Hindi and regional languages, takes orders in their own SKU names, checks credit and stock, and books the sales order after readback.

Capability:
Voice AI
Industry:
Manufacturing

Who it is for

  • National Sales Head
  • Sales Operations Manager
  • Area Sales Manager
  • Order Desk and Sales Coordination Lead

The problem

In building materials, electricals, pipes, paints and similar categories, dealers still order by calling the sales officer or sending a WhatsApp message. A coordinator then re-keys the order into SAP or Tally, often hours later, and credit or stock problems surface only after delivery has been promised.

Orders re-keyed by hand

Sales officers and coordinators type orders from calls, voice notes and WhatsApp messages, and wrong SKUs or quantities lead to returns.

Local SKU names

Dealers say 'four inch, six kg' or 'twenty litre white' rather than the item code, and only experienced staff can map them.

Credit and stock checked too late

Orders from dealers on credit hold, or for items not in the depot, are discovered after the promise is made.

Peaks and after-hours calls

Month-end and seasonal peaks overwhelm the order desk, and dealers who call after hours wait until the next day.

What we build

We build a voice agent that takes dealer orders by phone, on inbound calls or on scheduled outbound calls on each dealer's order day. It speaks Hindi, English and the regional languages your network uses, and understands the names dealers actually use for SKUs, mapped to your item master. During the call it checks the dealer's credit limit and outstanding, depot stock and applicable schemes. It reads the order back, gets confirmation and creates the sales order in SAP or Tally, then sends a WhatsApp summary. Credit holds, special price requests and unclear items go to a coordinator.

  • Inbound order line plus scheduled outbound calls by dealer beat or order day
  • Understands Hindi, Hinglish and regional languages, including dealer nicknames for SKUs and pack sizes
  • Maps spoken items to item codes using your item master and each dealer's order history
  • Checks credit limit, overdue amount, depot stock and scheme eligibility during the call
  • Reads back every line and books the sales order only after the dealer confirms
  • Sends a WhatsApp order summary and hands over to a coordinator with the transcript when needed

How it works

  1. 01Call connectsA dealer calls the order line or receives a scheduled call; the agent identifies them from the registered number.
  2. 02Capture order linesThe dealer speaks the order naturally; the agent maps each item to an item code and asks about anything unclear.
  3. 03Check credit, stock and schemesCredit limit, outstanding, depot stock and active schemes are checked through the ERP.
  4. 04Read back and confirmThe agent reads back items, quantities and values and gets explicit confirmation.
  5. 05Book or hand overClean orders are booked as sales orders; credit holds and special requests go to the coordinator.
  6. 06Confirm on WhatsAppThe dealer receives an order summary, and the sales officer sees it in their app or CRM.

Inputs and outputs

Inputs

  • Dealer master with registered numbers, territory and order days
  • Item master with SKU nicknames, pack sizes and price lists
  • Credit limits, outstanding and overdue amounts from SAP or Tally
  • Depot stock and active scheme circulars
  • Past order history per dealer

Outputs

  • Sales orders booked in SAP or Tally
  • WhatsApp order summary to the dealer
  • Coordinator queue for credit holds and unclear items
  • Call recordings and transcripts
  • Order desk report by region, SKU and handover reason

Where people stay in control

Orders over the credit limit, special price requests, new SKUs and any item the agent cannot resolve go to a sales coordinator with the transcript. Credit control decides on holds, and the agent never offers discounts outside approved schemes.

Integrations

  • SAP SD or Tally Prime for orders, credit and stock
  • Dealer management system or sales force app
  • Cloud telephony or SIP trunk
  • WhatsApp Business API
  • CRM such as Salesforce or Zoho

Guardrails

  • Order created only after explicit readback confirmation
  • Prices and schemes taken only from the master, never generated
  • Order value limits above which a coordinator confirms
  • Call recording disclosure at the start of each call
  • Immediate handover when the dealer asks for a person

Compliance notes

  • Dealer proprietors' phone numbers and recordings are personal data under the DPDP Act 2023; notice and retention limits apply.
  • Outbound calling follows calling-hour and consent rules aligned with TRAI commercial-communication requirements where they apply.

FAQs

01Our dealers use local names for products. How does the agent learn them?

We build a nickname map from your item master, past orders and a few sessions with sales officers. When a dealer uses a new name, the agent asks a clarifying question, and the coordinator's answer is added to the map after review.

02Which languages does it support?

Hindi, English and Hinglish as standard, plus regional languages such as Marathi, Gujarati, Tamil, Telugu, Kannada or Bengali depending on your network. We test with real calls from your dealers before go-live.

03Can it handle credit checks and schemes?

Yes. It reads credit limit, outstanding and active schemes from your ERP during the call. It tells the dealer when an order needs approval but does not make credit decisions.

04What does it cost to run?

Running cost depends on call minutes, languages and integrations. After the pilot we give you a per-call and fixed-cost estimate based on your actual call volumes and lengths.
