Medical Rep Call Reporting by Voice
Medical representatives speak a short note in Hindi, English or a regional language after each doctor visit, and the agent drafts the call report, sample entries and follow-ups for them to confirm.

The problem
Medical representatives visit many doctors and chemists a day and must file a daily call report (DCR) for each visit: doctor, products detailed, samples given, feedback and next steps. Most fill it late at night from memory on a phone, so reports are thin, delayed or copied from the day before.
Late and copied reports
DCRs entered at the end of the day lose detail, and repeated generic feedback gives brand teams nothing to act on.
Sample entries that do not reconcile
Samples entered in DCRs often do not match what was issued to the MR, which creates gaps in sample accountability.
Typing in English on a small screen
Many reps think and speak in Hindi or a regional language, and typing structured English fields on a phone slows them down.
Safety information that never reaches PV
A doctor may mention a patient's side effect during a visit, and if it is not captured, the pharmacovigilance team never hears about it.
What we build
We build a voice reporting agent inside your SFA app or on WhatsApp. After a visit, the MR taps once and speaks naturally in Hindi, English, Hinglish or a supported regional language. The agent transcribes the note, identifies the doctor from the day's tour plan, maps products and samples to your product master, and drafts the DCR fields, feedback summary and follow-up tasks. The MR sees the draft and confirms or corrects it in a few taps. If the note mentions a possible side effect or product complaint, the agent flags it and routes it, with the audio, to the pharmacovigilance or complaints team.
- Captures spoken notes in Hindi, English, Hinglish and supported regional languages, including noisy outdoor audio
- Matches the doctor or chemist against the tour plan and customer master
- Maps brand names and sample packs to your product master
- Drafts DCR fields, feedback summary and follow-up tasks for MR confirmation
- Compares samples reported with samples issued to the MR
- Flags possible side effects or complaints and routes them for PV review
How it works
- 01MR records a noteRight after the visit, the MR records a short voice note in the SFA app or on WhatsApp.
- 02Transcribe and understandSpeech is transcribed and the agent picks out doctor, products, samples, feedback and next steps.
- 03Match to mastersDoctor, products and sample packs are matched to the tour plan, customer master and sample issue records.
- 04Screen for safety mentionsThe note is screened for possible adverse events or complaints, which go to PV with the original audio.
- 05MR confirms the draftThe MR reviews the drafted DCR on screen, corrects anything wrong and submits.
- 06Sync to CRMThe confirmed report, sample entries and tasks are written to the CRM and become visible to the manager.

- Daily tour plan
- Doctor and chemist master with specialty and location
- Product, brand and sample pack master
- Sample issue records per MR
Outputs
- Drafted DCR with doctor, products, samples and feedback

Where people stay in control
The MR confirms every report before submission, so nothing enters the CRM without their approval. Any flagged side-effect mention is reviewed by the pharmacovigilance team, who decide whether it is a reportable case.
Integrations
- Pharma CRM or SFA platform such as Veeva CRM, Salesforce or an Indian SFA product
- WhatsApp Business API
- Sample management system
- Pharmacovigilance intake queue
- HR and territory master
Guardrails
- No report submitted without MR confirmation
- Low-confidence doctor and product matches shown as choices, not filled in
- Safety screening errs towards flagging, with PV deciding
- Voice data retained per your policy, with restricted access
- Prompts and models versioned with change logs
Compliance notes
- Sample entries support the records expected under the Uniform Code for Pharmaceutical Marketing Practices (UCPMP) 2024.
- Doctor personal data and MR voice recordings are processed in line with the DPDP Act 2023, with purpose and retention defined up front.

What we measure
- Field accuracy of drafted DCRs
- Drafted fields compared with what the MR finally submits after corrections.
- Report timeliness
- Time between visit and submitted DCR, compared with the same MRs' earlier reports.
- MR correction effort
- Number of edits per draft before submission.
- Safety mentions routed
- Flagged notes reviewed by PV and marked relevant or not relevant.
FAQs
01Which languages are supported?
We start with Hindi, English and Hinglish, and add regional languages such as Marathi, Tamil, Telugu, Bengali or Gujarati based on your territories. The pilot tests accuracy on real field audio for each language included.
02What about poor network in rural territories?
Notes can be recorded offline and uploaded when the phone reconnects. The draft is ready for confirmation shortly after upload.
03Will managers hear the raw recordings?
That is a policy decision for you. By default managers see the confirmed report, and audio access is limited to roles you define, such as PV for flagged notes.
04Does it work with our current SFA app?
Usually, through the app vendor's API or a screen added to your app. If that integration takes longer, WhatsApp is a quick way to start the pilot.
