Engagement Proposal Drafting

Draft proposals, RFP responses and engagement letters from discovery notes and your firm's past work, with scope, staffing and assumptions laid out for the partner to price and sign.

Who it is for

  • Managing Partner
  • Business Development Lead
  • Engagement Partner
  • Proposal Manager

The problem

Audit and advisory firms win work through proposals, RFP responses for bank and PSU empanelment, and engagement letters that fix scope and responsibilities. Each one is assembled from old Word files, CVs and credential lists by a manager who would rather be billing, and loose scope language in an engagement letter becomes a dispute later.

Copy-paste reuse

Old client names, outdated credentials and last year's team members survive into new documents.

Tender compliance is unforgiving

A missed eligibility document, annexure or format requirement can disqualify an otherwise strong bid.

Vague scope invites scope creep

Deliverables, exclusions and client responsibilities that differ between proposal and engagement letter cause fee disputes.

Partner time goes on drafting

The people best placed to shape the approach spend evenings formatting documents.

What we build

We build a proposal assistant grounded in your firm's own material: past proposals, engagement letter templates, methodology notes, team CVs and approved credential write-ups. For an RFP, it reads the tender document and corrigenda, extracts eligibility criteria, formats, annexures and evaluation parameters into a compliance matrix, and drafts responses section by section with references to the sources used. For a direct proposal, it works from discovery notes to draft the understanding of need, scope, approach, deliverables, timeline, team and assumptions. It then drafts the engagement letter in your template, consistent with the proposal. Fees and independence conclusions are left for the partner.

  • RFP reader that builds a compliance matrix of eligibility, formats, annexures and evaluation criteria
  • Retrieval over past proposals, methodologies, CVs and approved credentials, with a citation for each source
  • Section drafting for understanding, scope, approach, workplan, team and assumptions
  • Engagement letter drafting in your template, consistent with the proposal's scope and exclusions
  • Checks for leftover client names, outdated credentials and scope terms that conflict between documents
  • Fee and independence fields left for the partner and never filled by the model

How it works

  1. 01Upload the RFP or notesThe tender document and corrigenda, or notes from the discovery call, are added to a new opportunity.
  2. 02Extract requirementsEligibility criteria, formats, annexures, evaluation parameters and client needs are listed in a compliance matrix.
  3. 03Retrieve past materialRelevant proposals, methodologies, CVs and credentials are found and cited.
  4. 04Draft proposal and letterProposal sections and a matching engagement letter are drafted in your templates.
  5. 05Resolve flagged itemsGaps against the matrix, conflicting scope terms and leftover names are flagged for the manager to fix.
  6. 06Partner approvalThe partner sets fees, confirms independence and approves the final pack.

Inputs and outputs

Inputs

  • RFP or tender documents and corrigenda
  • Discovery call notes or recordings
  • Past proposals and engagement letters
  • Team CVs and approved credentials
  • Methodology documents and templates

Outputs

  • Compliance matrix against the RFP
  • Draft proposal in the firm's format
  • Draft engagement letter consistent with the proposal
  • List of flagged gaps and conflicts
  • Source references for each drafted section

Where people stay in control

The engagement partner decides scope, staffing, fees and independence and approves the final documents. The assistant drafts and checks; it does not price, accept the engagement or send anything to the client.

Integrations

  • SharePoint or Google Drive proposal library
  • Microsoft Word or Google Docs
  • CRM such as Zoho CRM, HubSpot or Salesforce
  • Tender downloads from e-procurement portals

Guardrails

  • Only firm-approved credentials can be cited
  • Confidential detail from past engagements kept out of the reusable library unless redacted and approved
  • Fee fields never filled automatically
  • All output marked as draft until partner approval
  • Independence and conflict checks left to the firm's own process

Compliance notes

  • Audit engagement letters are drafted to reflect the terms ICAI's SA 210 expects to be agreed; the partner remains responsible for the final terms.
  • Independence and conflict checks follow the firm's own procedures and the ICAI Code of Ethics.

What we measure

Time to first draft
Hours from receiving the RFP or notes to a reviewable draft, compared with recent proposals.
Partner edits per section
Count and type of edits made before approval.
Compliance matrix completeness
Requirements captured by the tool compared with a manual check of the tender.
Issues caught before submission
Leftover names, outdated credentials and scope conflicts flagged and confirmed.

FAQs

01Could details from one client's proposal leak into another's?

The library is curated: only approved, redacted material is indexed for reuse, and a final check flags any client names or figures that should not appear. Confidential engagement detail stays out of the reusable library.

02Can it handle bank and PSU tenders with strict formats?

Yes. It extracts eligibility criteria, required annexures, formats and evaluation parameters into a compliance matrix and drafts against that structure. A person still checks the final submission against the tender, including any corrigenda.

03Does it suggest fees?

No. Fees, discounts and payment terms are left for the partner. The assistant can list the effort assumptions in the scope so the partner can price from them.

04Where are our documents stored?

In your own SharePoint, Google Drive or cloud account. The retrieval index runs in your environment, and model calls use endpoints that do not train on your data.
