Shipper Lead Qualification and Quote Automation

Qualify inbound shipper enquiries from web, email and WhatsApp, collect lane, volume and cargo details, and draft quotes from your rate cards for a salesperson to approve.

Who it is for

  • Head of Sales
  • Pricing Manager
  • Inside Sales Lead
  • Branch Business Development Manager

The problem

Logistics companies get enquiries from website forms, emails, WhatsApp, marketplaces and referrals: a one-off part load from Pune to Guwahati, a monthly FTL contract, an export LCL shipment, a warehousing requirement. Sales teams chase missing details, wait on pricing, and many leads go cold before a quote reaches the shipper.

Enquiries missing key details

Origin, destination, cargo type, weight, dimensions, frequency and timelines arrive incomplete, so the first exchanges are spent collecting basics.

Slow quotes

Pricing teams build quotes by hand from rate cards, vendor rates and surcharges, and simple spot quotes wait behind large RFQs.

Poor-fit leads take time

Enquiries for lanes, cargo types or volumes you do not serve get the same attention as good-fit ones.

No follow-up discipline

Quotes sent by email are not followed up consistently, and nobody records why leads were lost.

What we build

We build an enquiry assistant that responds on your website, email and WhatsApp, asks for missing details in a short conversation and structures the lead: lanes, mode, cargo, weight and dimensions, frequency, special handling and timelines. It checks fit against your service coverage and minimum volumes, scores the lead and routes it to the right branch or vertical. For standard lanes it drafts a quote from your rate cards, fuel surcharge and accessorial rules; for RFQs it extracts lane tables from the shipper's spreadsheet into your pricing template. A salesperson approves every quote, and follow-ups and outcomes are recorded in your CRM.

  • Captures enquiries from web forms, email, WhatsApp and marketplaces in one queue
  • Asks follow-up questions to complete lane, cargo, volume and timeline details
  • Scores fit against your lanes, modes, cargo types and minimum volumes
  • Drafts spot quotes from rate cards, fuel surcharge and accessorial rules
  • Extracts lane tables from RFQ spreadsheets into your pricing template
  • Schedules follow-ups and records win or loss reasons in the CRM

How it works

  1. 01Enquiry arrivesA shipper submits a form, sends an email or messages on WhatsApp, and the enquiry lands in one queue.
  2. 02Complete the detailsThe assistant asks for missing information such as dimensions, frequency or pickup dates.
  3. 03Score and routeThe lead is scored against your coverage and routed to the right branch, vertical or inside sales.
  4. 04Draft the quoteStandard lanes get a draft quote from rate cards; RFQ lanes are extracted for the pricing team.
  5. 05Sales approvalA salesperson or pricing manager reviews, edits and approves the quote before it is sent.
  6. 06Follow up and recordFollow-ups are scheduled, and outcomes and reasons are recorded in the CRM.

Inputs and outputs

Inputs

  • Enquiries from forms, email, WhatsApp and marketplaces
  • Rate cards, fuel surcharge and accessorial rules
  • Service coverage: lanes, pin codes, modes and cargo types
  • RFQ spreadsheets from shippers
  • CRM account and opportunity data

Outputs

  • Structured, scored leads routed to the right team
  • Draft spot quotes for approval
  • RFQ lane tables in your pricing template
  • Follow-up schedule and reminders
  • Win or loss reasons and pipeline reports

Where people stay in control

A salesperson or pricing manager approves every quote before it reaches the shipper, and pricing builds all non-standard and contract quotes. The system never commits capacity or rates on its own.

Integrations

  • CRM such as Salesforce, Zoho or HubSpot
  • Website and chat widget
  • WhatsApp Business API
  • Email inbox for enquiries
  • TMS or pricing tool holding rate cards

Guardrails

  • No quote sent without human approval
  • Quotes carry a validity period and stated assumptions
  • Only current, approved rate cards used
  • Shipper data used only for the enquiry and follow-ups they asked for
  • Opt-outs honoured on WhatsApp and email follow-ups

Compliance notes

  • Follow-up messages follow WhatsApp Business policies and TRAI commercial communication rules where applicable.
  • Lead personal data is processed in line with the DPDP Act 2023, and GDPR for shippers in the EU.

FAQs

01Will the system send quotes without our approval?

No. Every quote is drafted for a salesperson or pricing manager to review and approve. You may later allow automatic sending for specific standard lanes, but that is your decision.

02Our pricing depends on vendor rates that change daily. Can it handle that?

For spot pricing tied to market vendor rates, the system collects the enquiry and drafts the quote structure, and your pricing team adds the rate. Standard contract lanes can use stored rate cards.

03Can it read shipper RFQ spreadsheets?

Yes. RFQ files with lane tables are extracted into your pricing template, with unclear rows flagged. Your pricing team then fills in or reviews the rates.

04Which CRM do you support?

We integrate through your CRM's API, for example Salesforce, Zoho or HubSpot. If you do not use a CRM yet, the pilot can start with a simple lead board.
