The problem
A hotel buys from dozens of suppliers every week: vegetables, dairy, meat, groceries, LPG, linen laundry, housekeeping supplies and maintenance contracts. Bills arrive as GST invoices, delivery challans and handwritten market slips, and accounts match them by hand to purchase orders and the store receiving register before paying.
Rates that creep
Vegetable and dairy rates are agreed weekly, but invoices arrive at different rates and nobody compares every line.
Billed versus received
Short deliveries, rejected items and weight differences recorded at the receiving bay are not always deducted from the invoice.
Handwritten and mixed formats
Local suppliers send handwritten bills and challans that are typed into Tally line by line.
Duplicates and GST errors
The same bill is submitted twice, or tax is charged as IGST instead of CGST and SGST, which affects input tax credit.
What we build
We build an invoice pipeline for hotel purchasing. Invoices, challans and market slips arrive by email, as WhatsApp photos or as scans from the store. OCR and a large language model extract supplier, GSTIN, invoice number, line items, quantities, units, rates and tax. Each line is matched to the purchase order or indent, the store receiving entry and the agreed rate list for that week. The pipeline checks arithmetic, tax type and GSTIN format, and looks for duplicates. Matched invoices are prepared for posting to your accounting system, and mismatches go to an exception queue with the reason and the source document side by side.
- Extraction from GST invoices, delivery challans and handwritten market bills
- Three-way match of invoice lines with purchase orders or indents and store receiving records
- Rate check against weekly vegetable, dairy and meat rate lists or annual supply contracts
- Short-delivery and rejected-item deductions taken from the receiving register
- GSTIN format, tax type and arithmetic checks, with duplicate detection
- Exception queue and posting file for Tally, Zoho Books or your ERP
How it works

Inputs and outputs
Inputs
- Supplier GST invoices and delivery challans
- Handwritten market purchase bills
- Purchase orders and kitchen indents
- Store receiving register or goods receipt notes
- Weekly rate lists and annual supply contracts
- Supplier master with GSTINs
Outputs
- Structured invoice records with line items

- Suggested debit notes for short deliveries and rate differences
- Posting file or entries for the accounting system
- Supplier rate variance and purchase reports
Where people stay in control
Accounts approve every exception, and the purchase manager decides on rate disputes and debit notes. Payment approval stays with the financial controller or owner, as it does today.
Integrations
- Tally, Zoho Books, SAP Business One or your ERP
- Hotel inventory or store management module
- Email and WhatsApp for bill intake
- GSTR-2B downloads for input tax credit checks
- Shared drive or document management for bill archives
Guardrails
- No invoice posted or paid without the configured approval
- Every extracted value linked to the bill image
- Tolerances for rates and quantities set by finance, not by the model
- Duplicate checks across supplier, invoice number, date and amount
- Low-confidence handwritten bills always sent for review
Compliance notes
- GST checks help protect input tax credit by catching wrong tax types and invalid GSTINs before posting.
- Keeps an audit trail linking each payment to its invoice, receipt and approval.

FAQs
01Can it read handwritten bills from local vendors?
Yes, for reasonably clear handwriting on typical market slips. Lines it reads with low confidence are flagged for review, and the pilot reports accuracy separately for handwritten bills.
02Does it work with Tally?
Yes. We usually produce an import file or use Tally's integration options to create purchase entries, with a link to the bill image stored for reference. Systems such as Zoho Books or SAP Business One connect through their APIs.
03What if we do not raise purchase orders for daily vegetables?
Many hotels buy daily produce against a kitchen indent and a weekly rate list. The pipeline can match against the indent, the receiving entry and the rate list instead of a PO.
04Can it help with food cost control?
It produces clean, item-level purchase data by supplier and category, which feeds food cost reports. It does not replace stock counts or recipe costing, but it makes the purchase side reliable.
