Fee Reminder Agent (Voice + WhatsApp)
Remind parents of upcoming and overdue fee instalments on WhatsApp and by voice in their language, share a UPI link, confirm payments and route hardship requests to the accounts office.

The problem
Schools collect fees monthly or quarterly, and coaching institutes split a programme fee into instalments tied to dates or phases. The accounts office ends up sending manual WhatsApp messages and making awkward calls, while some parents have already paid through another channel and others need an extension they hesitate to ask for.
Manual chasing
Accounts staff export due lists from the ERP and message or call parents one by one, every cycle.
Paid but still reminded
Payments by UPI, bank transfer or at the counter take time to reconcile, so parents who have paid still get reminders and complain.
Tone problems
Reminders that sound like recovery calls damage the relationship, and messages that reach the student instead of the parent cause distress.
Hardship goes unspoken
Families facing a genuine problem rarely call the office, so a late payment turns into a dropout without anyone offering a plan.
What we build
We build a reminder agent that reads due and overdue instalments from your ERP and contacts the parent or guardian, not the student. WhatsApp comes first, with an approved template, the amount, due date and a UPI payment link. If the instalment stays unpaid, a short, polite voice call follows in Hindi, English or the family's preferred language. Parents can say they have already paid, ask for a receipt, request more time or ask to speak to accounts. Payments are confirmed against the gateway before any further reminder, and requests for extensions or concessions go to the accounts office, which decides.
- Due-list sync from the ERP with instalment, concession and sibling details
- WhatsApp reminders with approved templates and UPI payment links or QR codes
- Polite voice calls in Hindi, English and regional languages for unpaid instalments
- Payment confirmation against the gateway before any follow-up
- Captures already-paid claims, receipt requests and extension requests for accounts
- Calling windows, frequency caps and opt-outs enforced for each family
How it works
- 01Sync the due listUpcoming, due and overdue instalments are pulled from the ERP each morning, with guardian contact details.
- 02Send a WhatsApp reminderThe guardian receives an approved template with the amount, due date and a UPI link or QR code.
- 03Check payment statusGateway and bank feeds are checked so paid instalments drop out before the next step.
- 04Voice follow-upInstalments still unpaid at the agreed point get a short, polite call in the guardian's language.
- 05Handle responsesClaims of payment, receipt requests and extension requests are captured and routed to the accounts office.
- 06Confirm and updateReceipts are sent on WhatsApp and the ERP is updated with payments and promised dates.

FAQs
01Will the agent call students?
No. For minors it contacts only the registered guardian numbers, and student numbers are excluded from the contact list.
02How do you avoid reminding parents who have paid?
The agent checks the payment gateway and bank feed immediately before every message or call. Counter payments need to be entered in the ERP, and the pilot measures any reminders that still reach paid families.
03Can it offer instalment extensions?
It captures the request and the reason, but only your accounts office approves extensions or concessions. The parent is told when to expect a decision.
04Which languages are supported?
Hindi and English by default, with regional languages added for your parent base. WhatsApp templates are approved per language.
