Private Markets Fund Document Extraction

Read capital calls, distribution notices, capital account statements and LPAs from many GPs into structured records, with roll-forward checks and wire-instruction change alerts.

Who it is for

  • Head of Investment Operations
  • Private Markets Analyst
  • Fund Accountant
  • Family Office CFO

The problem

An LP with commitments across private equity, venture, credit and real estate funds receives a steady stream of documents from each GP: capital call and drawdown notices, distribution notices, quarterly capital account statements, quarterly reports and audited financials. Every GP uses its own format and portal, and operations teams key the figures into spreadsheets or the accounting system.

Formats differ by GP

Each GP and administrator lays out notices and statements differently, so template-based tools need constant maintenance.

Cash deadlines are tight

Capital calls carry due dates, and a notice missed in a portal or inbox becomes a late payment.

Wire instruction changes are a fraud risk

A changed bank account on a capital call notice may be legitimate or a payment fraud attempt, and it must be caught every time.

Roll-forwards that do not tie

Capital account statements must roll from opening to closing balance through contributions, distributions, fees and gains, and breaks are found late.

What we build

We build a fund document pipeline for LPs, family offices and fund administrators. It collects documents from GP portals and inboxes, classifies them and extracts what operations and accounting need: call amounts, due dates and purpose, distribution components, capital account movements, NAV and fees. Every capital account statement is checked for arithmetic and tied to your commitment register, and bank details on each notice are compared with your verified instruction master. Breaks go to an analyst; any change in wire instructions is blocked and sent for callback verification by treasury. Clean records post to your accounting or portfolio monitoring system, and LPA and side-letter terms go into a searchable register.

  • Classifies capital calls, distribution notices, capital account statements, quarterly reports, LPAs, side letters and PPMs
  • Extracts call amounts, due dates and purpose, and splits distributions into return of capital, gains, income and withholding
  • Checks capital account roll-forwards and ties them to your commitment register and unfunded balance
  • Compares bank details on every notice with your verified instruction master and blocks changes
  • Builds a register of key LPA and side-letter terms such as fees, hurdle, key person and most-favoured-nation provisions
  • Posts validated records to your accounting or portfolio monitoring system and cash forecast

How it works

  1. 01Collect documentsNotices and statements are gathered from GP portals and inboxes and tagged by fund and investing entity.
  2. 02Classify and extractEach document type has its own schema for amounts, dates, components and balances.
  3. 03ValidateRoll-forwards, commitment balances and bank details are checked against your records.
  4. 04Handle exceptionsBreaks go to an operations analyst; wire instruction changes are blocked for treasury callback verification.
  5. 05Post and forecastValidated records post to accounting and update the cash forecast and unfunded commitments.
  6. 06Maintain the terms registerLPA and side-letter terms are extracted for legal review and kept in a searchable register.

Inputs and outputs

Inputs

  • Capital call and drawdown notices
  • Distribution notices
  • Quarterly capital account and NAV statements
  • Quarterly reports and audited fund financials
  • LPAs, side letters and PPMs
  • Commitment register and verified bank instruction master

Outputs

  • Structured capital call and distribution records with due dates
  • Capital account roll-forward and NAV by fund and entity
  • Commitment and unfunded balance tracker
  • Wire instruction change alerts
  • Register of key LPA and side-letter terms

Where people stay in control

Operations analysts approve every cash movement record and resolve breaks. Any change in bank details is blocked until treasury completes an out-of-band callback, and legal reviews extracted side-letter terms before anyone relies on them.

Integrations

  • GP investor portals and data rooms
  • Shared inboxes
  • Investment accounting or portfolio monitoring platform
  • Treasury and payments system
  • Data warehouse and BI tools

Guardrails

  • The system never initiates or approves payments
  • Bank detail changes always blocked pending callback verification
  • Arithmetic checks on every capital account statement
  • Every value linked to its source page
  • Access restricted by fund and investing entity

Compliance notes

  • Investor personal data in subscription and KYC documents is handled under the DPDP Act 2023 or GDPR, as applicable.
  • Payment fraud controls such as callback verification stay with your treasury team; the system only raises and records the alert.

What we measure

Field accuracy on calls and distributions
Compared with the records your operations team booked for the same documents.
Roll-forward breaks detected
Breaks raised by the pipeline and confirmed by analysts or GPs.
Time from receipt to booking
Timestamps from document arrival to posting, compared with the current process.
Wire change alerts
Each alert reviewed by treasury and classified as legitimate change, error or suspicious.

FAQs

01How do you cope with so many GP formats?

The extractor reads documents in context rather than relying on fixed templates, so new layouts work without set-up. The first documents from any new GP are reviewed by an analyst to confirm the mapping.

02Does it work for Indian AIF documents?

Yes. Drawdown notices, NAV statements and unitholder statements from Indian AIFs use the same approach, with schemas that reflect their terminology.

03Can it pull documents from GP portals automatically?

Where portals allow it, we automate downloads with credentials held in your secrets store. Where they do not, documents can be forwarded or dropped into a watched folder.

04How are wire instructions protected?

The system compares bank details on every notice with your verified master and blocks any change. Verification happens by callback through your treasury process, outside the AI.
