Broker and Channel Partner Lead Automation

Register broker leads from WhatsApp and email, check them against the CRM for ownership, acknowledge partners instantly and track each lead through visit, booking and brokerage.

Who it is for

  • Channel Sales Head
  • Channel Partner Relationship Manager
  • Sales Operations Manager
  • Finance Manager for brokerage payouts

The problem

For many developers, channel partners are a major source of bookings. They register buyers by WhatsApp message, email or spreadsheet, often while the same buyer is also calling the project directly. Lead ownership decides who earns brokerage, so slow or inconsistent registration turns into disputes and strained partner relationships.

Free-text registrations

Partners send names and numbers in every format, in bulk messages, sometimes without the project or configuration, and someone types them into the CRM.

Ownership disputes

The same buyer may already be in the direct database or registered by another partner, and without a clear timestamped record the decision rests on memory.

Partners kept waiting

Without an instant acknowledgement and lead ID, partners call the channel team repeatedly or take their buyer elsewhere.

Brokerage tracked in spreadsheets

Eligibility depends on booking, agreement registration and payment milestones, and partners chase finance for status.

What we build

We build a channel partner automation layer around your CRM. Partners register leads on WhatsApp, email or a simple portal, in any format, and the system extracts buyer name, phone, project, configuration and visit date and checks them against existing leads and partner registrations. Your ownership rules, such as validity windows and site visit tagging, are applied, and the partner receives an acknowledgement with a lead ID or a clear reason for rejection. Leads flow to the right sourcing manager. Partner onboarding documents are checked for RERA agent registration, PAN and GST, and brokerage eligibility is tracked through booking and agreement milestones so partners can see their status.

  • Lead extraction from free-text WhatsApp messages, emails and spreadsheets
  • Duplicate and ownership checks against CRM leads and other partners' registrations
  • Instant acknowledgement with lead ID, validity window or rejection reason
  • Site visit tagging to the registering partner and the sourcing manager
  • Partner onboarding checks for RERA agent registration, PAN, GST and bank details
  • Brokerage eligibility and status tracking linked to booking milestones

How it works

  1. 01Partner sends a registrationThe partner shares buyer details by WhatsApp, email or portal, in their own format.
  2. 02Extract lead detailsBuyer name, phone, project, configuration and proposed visit date are extracted and normalised.
  3. 03Check duplicates and ownershipThe lead is matched with CRM records and other partners' registrations, and ownership rules are applied.
  4. 04Acknowledge or escalateClear cases are acknowledged with a lead ID, and conflicts go to the channel head with the evidence.
  5. 05Tag visits and bookingsSite visits and bookings are tagged to the registering partner and sourcing manager in the CRM.
  6. 06Track brokerageBooking and agreement milestones update brokerage eligibility, and finance approves payouts.

Inputs and outputs

Inputs

  • Partner lead registrations by WhatsApp, email or portal
  • CRM leads and existing partner registrations
  • Ownership and validity rules from your channel policy
  • Partner onboarding documents: RERA agent registration, PAN, GST
  • Booking and agreement milestones from the CRM

Outputs

  • Acknowledgements with lead ID or rejection reason
  • Timestamped registration ledger
  • Conflict cases with evidence for the channel head
  • Partner-wise visit, booking and brokerage status
  • Brokerage eligibility list for finance

Where people stay in control

The channel head decides every ownership conflict, and finance approves every brokerage payout. The system applies agreed rules and assembles evidence; it does not settle disputes on its own.

Integrations

  • Real estate CRM such as Salesforce, Sell.Do or LeadSquared
  • WhatsApp Business API
  • Shared email inbox for partner registrations
  • Accounts system for brokerage payouts
  • State RERA portal for agent registration lookup

Guardrails

  • Ownership rules applied exactly as written in your channel policy, with versioning
  • Every registration timestamped and stored unchanged
  • Conflicts never auto-resolved in favour of any party
  • Partners see only their own leads and status
  • Buyer phone numbers masked in partner-facing views after registration

Compliance notes

  • Real estate agents generally need RERA registration in the state where they operate; onboarding records the number and certificate for your verification.
  • Buyer data shared by partners is processed for the registration purpose under the DPDP Act 2023.

FAQs

01What if two partners register the same buyer minutes apart?

Both registrations are stored with exact timestamps and the rules in your channel policy are applied. Where the policy leaves room for judgement, such as a site visit tagged to the later partner, the case goes to the channel head with the full history.

02Can partners keep using their own message format?

Yes. The extractor reads free text, forwarded contacts and spreadsheets. If a registration is missing something, such as the project name, the system asks the partner for it before registering.

03Does it calculate brokerage amounts?

It tracks eligibility against your milestones and can compute the amount from the agreed slab, but finance approves every payout and handles partner invoices and tax.

04Can it check a partner's RERA agent registration?

It records the registration number and certificate, checks the format and expiry date shown on the document, and can look it up on the state RERA portal where the portal allows. Final verification stays with your team.
