The problem
A visa application is built from a dozen documents per traveller: passport, photographs, bank statements, income tax returns, salary slips, employer letters, flight and hotel bookings, travel insurance and a cover letter. Each destination has its own checklist, and a single inconsistency, such as hotel dates that do not match the flights, can lead to a refusal or a second appointment.
Checklists that keep changing
Embassy and visa centre requirements differ by destination and change from time to time, and consultants work from old printouts.
Inconsistencies across documents
Names spelled differently from the passport, hotel nights that do not cover the itinerary or insurance that ends before the return flight are easy to miss.
Group and family files
Tour groups and families multiply the paperwork, and one missing salary slip holds up the whole appointment.
Sensitive financial documents in chat
Bank statements and tax returns arrive over WhatsApp and email and end up in personal folders.
What we build
We build a visa file checker that works from your agency's own destination checklists, which your visa team maintains with source and date. Travellers or consultants upload documents to a secure link. The system classifies each document, extracts names, passport details, dates, balances, cover periods and booking details, and checks completeness against the checklist for that destination and visa type. It then checks consistency across the file: names against the passport, itinerary dates against flights, hotels, insurance and leave letters, passport validity and statement periods. The consultant receives a status sheet with every issue and its source page. The system never predicts visa outcomes.
- Destination and visa-type checklists maintained by your team, versioned with source and date
- Classification of passports, statements, ITRs, salary slips, letters, bookings and insurance certificates
- Extraction of names, dates, balances, cover periods and booking references
- Cross-document checks for names, travel dates, hotel nights and insurance cover
- Passport validity, statement period and photograph specification checks
- Traveller-friendly list of missing or inconsistent items to fix
How it works
- 01Open the fileThe consultant selects destination, visa type and travellers, and the matching checklist version is attached.
- 02Collect documentsTravellers upload documents through a secure link, and the system classifies each one.
- 03Extract detailsNames, passport details, dates, balances, cover periods and bookings are extracted with confidence scores.
- 04Check completeness and consistencyDocuments are compared with the checklist and with each other, and gaps and mismatches are listed.
- 05Consultant reviewThe consultant reviews flags, asks travellers for fixes and marks the file as ready.
- 06Prepare for submissionA checked document index and summary support the appointment or online submission.

Where people stay in control
The visa consultant reviews every flag and decides when a file is ready. The visa team owns and updates checklists from official sources; the system checks against them but does not interpret embassy policy.

- Secure document storage
- WhatsApp Business API and email for document requests
- Flight and hotel booking systems
- Visa centre appointment workflows, used by staff
Guardrails
- Never predicts approval or refusal, and never advises how to present facts
- Checklists versioned with source and date, with outdated versions flagged
- Financial documents encrypted and deleted after the agreed period
- Access limited to the assigned consultant and visa team
- Low-confidence extractions shown for checking, never passed silently
Compliance notes
- Passport and financial documents are personal data under the DPDP Act 2023, and the design follows purpose limitation and retention limits.
- Where the agency serves travellers or partners in the EU, processing can be configured with GDPR requirements in mind.

FAQs
01Who keeps the checklists up to date?
Your visa team, using official embassy and visa centre sources. The system stores each checklist with its source and date, and warns consultants when a checklist has not been reviewed recently.
02Can it tell us whether a visa will be approved?
No. Decisions belong to the embassy or consulate. The checker helps you submit complete and consistent files; it does not predict outcomes or advise on how to present a case.
03How are bank statements and tax returns protected?
Documents are uploaded through a secure link rather than chat, encrypted at rest, visible only to the assigned team and deleted after the period you set.
04Does it handle corporate and group travel?
Yes. Group files show status per traveller, and shared documents such as invitation letters are linked across the group while personal documents are checked individually.
