WhatsApp Booking Assistant for Hotels

Answer availability and rate questions on WhatsApp, show rooms, take UPI advances and confirm bookings in your PMS, with staff stepping in for groups, negotiations and complaints.

Who it is for

  • Hotel Owner or General Manager
  • Front Office Manager
  • Revenue Manager
  • Reservations Executive

The problem

For many Indian hotels, WhatsApp has become a main booking channel, fed by Google Business Profile, Instagram and repeat guests. But it is answered from the front desk phone between check-ins, so replies are slow, rates are quoted inconsistently and a guest who waited too long books the same hotel on an OTA.

Slow replies during rush hours

The same person handles check-ins, calls and WhatsApp, so messages wait during the evening rush and late at night.

Back-and-forth before a booking

Dates, number of guests, extra bed, meal plan and room photos take many messages, and guests drop off midway.

Payment confusion

Advances are requested by sharing a UPI ID, guests send screenshots, and staff check the bank app later to match payments to bookings.

Bookings outside the PMS

Rooms promised on WhatsApp are noted on paper or in the chat, leading to overbooking when an OTA booking lands for the same room.

What we build

We build a WhatsApp booking assistant on the WhatsApp Cloud API that handles the conversation from first message to confirmed booking. It asks for dates, guests and preferences, checks live availability and rates from your PMS or channel manager, and shows room types with photos, inclusions and meal plans. When the guest chooses, it places a short hold on the inventory, sends a UPI payment link or QR code for the advance and confirms the booking only after the payment gateway reports success. The voucher goes to the guest and the booking appears in the PMS. Staff take over in the same chat for groups, special requests, negotiations and complaints.

  • Guided booking conversation in English, Hindi and Hinglish, with free-text understanding
  • Live availability and rates from the PMS or channel manager, plus direct-booking offers you set
  • Room catalogue with photos, inclusions, CP and MAP meal plans and policies
  • Timed inventory hold, UPI payment link or QR code and gateway-verified confirmation
  • Booking written to the PMS with a confirmation voucher sent on WhatsApp
  • Handover to staff in the same chat, with the conversation history visible

How it works

  1. 01Guest starts a chatA guest messages from Google, Instagram, the website or a saved number, and the assistant greets them and asks for dates and guests.
  2. 02Check availability and ratesThe assistant queries the PMS or channel manager and presents matching room types with rates and inclusions.
  3. 03Select and holdThe guest picks a room and meal plan, and the assistant places a timed hold on that inventory.
  4. 04Collect the advanceA UPI payment link or QR code is sent, and payment status comes from the gateway, not from screenshots.
  5. 05Confirm or hand overOn success the booking is created in the PMS and a voucher is sent; failed payments, groups and special requests go to staff.
  6. 06Pre-arrival messagesBefore arrival the guest receives directions, check-in time and ID requirements, and can ask follow-up questions.

Where people stay in control

Front desk staff take over any conversation involving groups, special requests, negotiations, complaints or failed payments, and the revenue manager sets the rates and offers the assistant may quote.

Integrations

  • WhatsApp Cloud API
  • Hotel PMS such as eZee, Hotelogix, IDS or Opera
  • Channel manager such as STAAH, AxisRooms or SiteMinder
  • Payment gateway with UPI, such as Razorpay, Cashfree or PayU
  • Google Business Profile and Instagram links to WhatsApp

Guardrails

  • Bookings confirmed only after a gateway payment callback, never on a screenshot
  • Timed holds released automatically if payment does not arrive
  • Quotes only rates and offers returned by the PMS or set by the revenue manager
  • Hands over to staff whenever the guest asks for a person
  • Guest data stored in your account, with access limited to front office staff

Compliance notes

  • Business-initiated WhatsApp messages use approved templates and opt-in, per Meta's WhatsApp Business policies.
  • Guest contact details and payment references are processed for the booking purpose, with retention limits, under the DPDP Act 2023.

FAQs

01What if we do not have a PMS with an API?

We can start with a shared availability and rate sheet that the front desk updates, and the assistant reads it before quoting. It is less automatic than a live integration, so we keep holds short and have staff confirm bookings until a PMS connection is in place.

02How do you stop fake payment screenshots?

The assistant ignores screenshots for confirmation. It waits for the payment gateway's success callback, linked to the booking reference. If a guest says they have paid and no callback has arrived, the chat goes to staff to check.

03Will it undercut our OTA rates?

It quotes only what your PMS returns and the direct offers your revenue manager sets, so rate parity decisions stay with you. Some hotels prefer to offer a direct-booking benefit, such as breakfast or late check-out, rather than a lower rate.

04Can it handle Hindi and Hinglish messages?

Yes. It understands mixed Hindi and English text, including the spellings guests commonly use, and replies in the guest's style. Voice notes can be transcribed and handled the same way.
