After-Hours Reservation Voice Agent

Answer reservation calls at night and during the front desk rush in Hindi and English, check availability, send payment links and route in-house guest issues to the duty manager.

Capability:
Voice AI

Who it is for

  • General Manager
  • Front Office Manager
  • Night Duty Manager
  • Reservations Manager

The problem

Many independent hotels run the night shift with one person doing the night audit, handling late arrivals and answering the phone. Calls about tomorrow's availability, early check-in or directions ring out or get rushed answers, and travellers who cannot get through book somewhere else.

Missed calls at night and at peak hours

Late-night and early-morning calls, and calls during the evening check-in rush, go unanswered or get a hurried reply.

Repetitive questions crowd out real work

Check-in time, parking, distance from the railway station, pet policy and breakfast timing take the night auditor away from arrivals and the audit.

Bookings taken without payment

Night bookings promised over the phone without an advance turn into no-shows that block rooms.

Urgent calls mixed with routine ones

An in-house guest reporting a problem and a caller asking about rates reach the same busy line.

What we build

We build a voice agent that answers your reservation line after hours, or whenever the front desk does not pick up within a set number of rings. It speaks Hindi, English or Hinglish, answers questions from your hotel's approved information, checks live availability and rates, and takes a reservation by collecting name, dates, guests and room type. It sends a payment link by SMS or WhatsApp for the advance and confirms the booking once paid. Existing guests can modify or cancel within your policy after verification. Calls from in-house guests, emergencies and anything outside its scope are transferred to the duty manager's phone at once.

  • Answers overflow and after-hours calls on your existing hotel number
  • Natural conversation in Hindi, English and Hinglish
  • Live availability and rate lookup with reservation capture
  • Payment link by SMS or WhatsApp, with no card details taken over the phone
  • Booking changes and cancellations within policy after caller verification
  • Immediate transfer of in-house guest issues and emergencies to the duty manager

How it works

  1. 01Answer the callCalls ring at the front desk first; unanswered or after-hours calls are picked up by the agent, which identifies itself as the hotel's AI assistant.
  2. 02Understand the requestThe agent works out whether the caller wants a new booking, a change, information or help during a stay.
  3. 03Escalate urgent callsIn-house guests, emergencies and complaints are transferred straight to the duty manager.
  4. 04Check and quoteFor new bookings it checks availability and rates in the PMS and explains inclusions and policies.
  5. 05Collect the advanceIt sends a payment link by SMS or WhatsApp and holds the room for a set time.
  6. 06Confirm and logOn payment the booking is created in the PMS, and every call gets a summary for the morning shift.

Where people stay in control

The duty manager takes every in-house guest call, emergency and complaint immediately. The morning shift reviews the call report and handles callbacks the agent has promised, such as group enquiries or special requests.

Integrations

  • Hotel PMS such as eZee, Hotelogix, IDS or Opera
  • Cloud telephony such as Exotel, Knowlarity or Twilio
  • Payment gateway with UPI payment links
  • WhatsApp Business API and an SMS gateway
  • Duty manager mobile phones for transfers

Guardrails

  • Identifies itself as an AI assistant at the start of every call
  • Never takes card numbers or UPI PINs over the phone
  • Verifies booking reference and phone number before any change or cancellation
  • Transfers immediately on emergency keywords or when the caller asks for a person
  • Quotes only rates and policies returned by the PMS or approved by management

Compliance notes

  • Call recordings and guest details are personal data under the DPDP Act 2023; callers are told calls are recorded, and recordings follow a set retention period.
  • Payments are taken through links on a regulated payment gateway, which keeps card and UPI credentials out of the call.

FAQs

01Do we need to change our phone number?

No. Your existing number forwards to the agent when the front desk does not answer, or during the hours you choose. Calls can still be transferred back to staff.

02What happens in an emergency?

Emergency words and any call from an in-house guest trigger an immediate transfer to the duty manager's phone, with a fallback number if the first does not answer. The agent does not try to resolve emergencies itself.

03Can it handle regional accents?

It is tested on recordings with the accents and code-mixing typical of your callers. When it does not understand after a retry, it offers a callback or a transfer rather than guessing.

04Is it affordable for a small hotel?

Pricing is a one-time setup plus a usage-based running cost that depends on call minutes. The pilot measures your actual minutes and bookings, so you can judge the cost against the business it brings.
