Service Booking and Reminder Voice Agent

A voice agent that calls customers when service is due, books workshop slots in the DMS, answers inbound booking calls and runs post-service follow-ups in Hindi, English and regional languages.

Who it is for

  • Service Manager
  • Customer Relations Manager at a dealership
  • Dealer Principal
  • OEM After-Sales Retention Lead

The problem

Dealer workshops depend on customers returning for periodic maintenance, but reminder calls are made by a small customer relations team working through long due lists. Calls go unanswered, bookings are not entered into the DMS, and post-service follow-up is the first task dropped on a busy day.

Due lists longer than the team

Customer relations executives cannot reach every vehicle due for service, so lapsed customers drift to independent garages.

Bookings that never reach the DMS

Slots agreed on the phone are noted on paper or not at all, leading to overbooked mornings and no-shows.

Language mismatch

Customers prefer Hindi, Hinglish or a regional language, and a single English script loses them.

Follow-up calls skipped

Post-service follow-up is often missed, so dissatisfied customers complain to the OEM before the dealer hears about it.

What we build

We build a voice agent that works from your DMS due list and your inbound service line. It filters numbers against consent and calling-window rules, calls in the customer's preferred language and introduces itself as an automated assistant. It offers available slots from the workshop calendar, records concerns such as noise, weak AC or warning lights as job card notes, offers pick-up and drop where you provide it, and quotes only approved menu prices for standard services. Bookings go straight into the DMS with a WhatsApp confirmation and a reminder the day before. After delivery, it runs follow-up calls and escalates any unhappy customer to the service manager.

  • Outbound due-service reminders from DMS data, with slot booking
  • Inbound booking, rescheduling and cancellation on the service line
  • Captures customer concerns as job card notes for the service advisor
  • Quotes only approved menu prices for standard periodic services
  • WhatsApp confirmations and day-before reminders
  • Post-service follow-up calls with escalation of dissatisfied customers

How it works

  1. 01Build the call listVehicles due for service are pulled from the DMS and filtered for consent, DND preferences and permitted calling hours.
  2. 02Call in the right languageThe agent calls in the customer's preferred language and states that it is an automated assistant.
  3. 03Offer slots and capture concernsIt offers available slots, records concerns and pick-up needs, and answers menu-price questions.
  4. 04Hand over when neededRepair questions, estimates beyond the menu and complaints go to a service advisor with a call summary.
  5. 05Book and confirmBookings are written to the DMS calendar, followed by a WhatsApp confirmation and reminder.
  6. 06Follow up after serviceA follow-up call after delivery captures satisfaction and escalates problems to the service manager.

FAQs

01Will customers know they are talking to an AI?

Yes. The agent says so at the start of every call and offers a person whenever the customer asks. Being upfront also keeps the conversation honest if something goes wrong.

02Which languages does it speak?

Hindi, English and Hinglish as standard, plus regional languages for your market. We test on recordings of your customers before the pilot goes live.

03Does it work with our DMS?

Yes, through the DMS appointment API or a staging integration agreed with your DMS provider. Bookings appear in the same calendar your advisors already use.

04Is this compliant with TRAI rules?

The agent calls only within permitted hours, checks consent and DND preferences and uses registered headers and templates for messages. Your compliance team approves the scripts and calling rules before go-live.
